The Classified Personnel Policy Committee met on September 17, 2013 at 1:30 pm in Conference Room A of the Central Office. In attendance were John Sparks, Keith Cooper, Julie Welfel, Clint Walker, Belinda Jackson, Derek Scott, Becky Del Rio, Bill Goff, and Charles Blake.
John Sparks opened the meeting to discuss the Classified Personnel Policy Committee elections for the 2013-14 year for the positions of Student Nutrition and Clerical. According to the Policies, elections are to be held by mid-October and the PPC committee needs to be organized by the end of October.
Election Day will be held October 9th district wide at the locations where paychecks are distributed for the employee. Each employee will vote at the location where the paycheck is delivered.
To ensure that each classified staff member is aware of the upcoming election and the request for the nominations, announcements will be made by email, through notifications on the paystubs, and call outs in addition to a posting at each location and the announcement within the minutes. A district wide Email will be given to Deb Roush for sending out across the district. The Email sent to the locations for posting will include the request “Please post this notice at the location so that all classified staff may have an opportunity to read it.”
Completed ballots to be counted on October 15th by the Classified PPC.
Notification to be placed on the paystub will include the following information:
Nominations (to include name, department, and contact number) to be made by end of day October 2nd to the Chairperson John Sparks at firstname.lastname@example.org or by phone at 501-982-9416. Please secure acceptance of the nomination.
Elections for the Classified Personnel Policy Committee to fill the two positions of Student Nutrition and Clerical will be held October 9th at the locations of paycheck delivery.
The callout will occur September 19th, September 24th, and September 30th at 7pm.
At the conclusion of today’s meeting, the Classified PPC will be meeting with the Print Shop to determine the feasibility of using scan-trons for the ballots.
Belinda will create the sign out sheets for use at each location and will insure that the ballots are sent to the various locations for the election. Ballots will be mailed in secure envelopes to the locations with directions regarding the process and requesting that the ballots be returned by end of day October 11th by courier in the secured envelopes for counting.
The next meeting is scheduled for 1:30pm on Thursday, October 3rd to finalize the ballots based on the accepted nominations and the procedure for distribution and return of the ballots.
The completed ballots will be counted by the Classified PPC at 1pm on October 15th in Conference Room A of the Central Office.
